You will provide comprehensive support to our CEO and the executive team, to assist them on their core responsibilities. Through this role you will be exposed to further opportunities to allow yourself to continuously upskill and challenge your personal and professional development, creating the specific position for you.
This role will encompass responsibilities across diverse business sectors such as business development management, financials, business operations, human resources, and marketing. You will team with the executive team to supporting and executing strategic decision making, business administrative and operations.
1. Executive Assistant
- Manage executives’ team calendars
- Schedule appointments & coordinate meetings
- Organise travel & events arrangements:
- Utilising technology tools to research for arranging domestic & international travels
- Coordinate and plan events: conferences, internal & external activities
- Create budgeting for travel & events
- Documentations: meeting minutes, prepare and organize documents, presentations, and reports
- Communications: liaise between the executive teams and internal/external stakeholders by responding to emails or any other inquiries, answering and making phone calls on behalf of company or the CEO in business professional manners
- Relationship Management: Build and maintain positive relationships with internal and external stakeholders through meetings to maintain strong relationships with key stakeholders to company
- Strategy and communications planning with the Executive Team
2. Documentations
- Filing management: Utilising technology tools (Confluence, Jira, Sharepoint) to maintain and improve filing & documentations system
- Building procedural workflows for tasks to document your role and train others
3. Operations
- Ensuring staff are time tracking and focused on the right outcomes
- Keeping track of assets control (laptops, software subscriptions)
- Generic Business Needs (ex. Insurance)
- Generate report overview of all projects
4. Financial
- Excel skills to create spreadsheets for financial planning
- Financial transaction reconciliations
- Preparing wages
- Assisting in Taxes and Superannuation processing (working with accountants)
- Budgeting
- Debt collections
- Preparing invoices
5. Human Resources
- Staff leaves record
- Preparing staff contract documentations
- Coordinating interview, assignment schedule & communication with candidates
- Assisting in coordinating internal staff queries
6. Research Capabilities
- Technology: keeping up to date with the tools used in the market, continuous upskills and mastering the tools, utilising technology tools for research
- Industry research: understanding of the industry, its problems and impact of solutions if User feedback
- Collection of user feedback to improve our processes, engagement, and software products in use
training
Internal training is provided through 1 on 1 pairing with the CEO and Executive Team. You may also receive external training for the role and executive management with an educator or consultant or through private courses.
about the manager/team
You will be reporting to the CEO & the Executive Teams (Operation Manager & Technical Manager).
skills & experience required
- Proven experience as an executive assistant or similar role with at least a 1 year of experience, preferably supporting C-level executives will be a plus point
- Fresh graduate with Bachelor’s Degree or equivalent work experience is welcomed
- Exceptional organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment
- Excellent written and verbal English communication skills
- Attention to details with numbers for financial administration, reporting, and meeting minutes
- Proficient in using Microsoft Office tools (Word, Excel, PowerPoint, Outlook)
- Ability to quickly learn in utilising other technological tools. Experience in using Jira, Confluence, Miro will be preferable
- Proficient Excel Skills to create financial planning and budgeting spreadsheet
- Strong problem-solving skills and the ability to anticipate needs and take proactive measures
- Professional demeanour, positive attitude, and the ability to maintain composure under pressure
- Research skills in conducting independent primary research using technology
- Proactively upskills and research in pursuing knowledge and keep up to date with technologies
