To handle all administrative and operational matters for SEA office with assistance to Regional HRBP SEA on all confidential task.
1. Admin & Operational Management
- Handling & maintaining all access rights for entry and exit points, warehouse & service center doors to ensure compliance to audit protocols.
- Keep all records up to date ie generation of weekly reports, clearing of incoming & outgoing employee records, etc.
2. HR related matters (Confidential)
- Assist HRBP SEA in maintaining all hardcopy of employee records for SEA (GVR + company and ensure all files are stamped by Tax Department incase of Govt audits.
- Maintaining all onboarding records ie welcome announcement & kits, immersion plans coordination, 3months tracker & issuance of confirmation forms & letters, working with Compass Team to ensure all new hire data is updated in DayForce system accurately with email & ID set up.
- To audit & maintain all active employees in DF system.
- Maintain and update all training records, HRDF (Govt training funding) claims submissions for all certified programs.
- Coordinate office events ie Birthday celebrations, festival dinners and assist in VontierCares activity for SEA.
- Liaise with Compass Team for creation of REQ and follow up with TA Team for new hire postings and placements.
- Assist HRBP SEA to coordinate contract employees timesheet, contract renewals and positive working standards by adhering to company culture & rules enforced.
